Position Summary:

 

Provides support to the Executive team, including but not limited to coordinating calendars and assisting with correspondence. The Administrative Assistant must be exceedingly well organized, detail oriented but flexible, and enjoy the challenges of working with a variety of situations and circumstances. A high level of professionalism and absolute confidentiality is crucial to this role. Responsible for coordinating logistics, gathering board materials, taking meeting minutes, and communicating with various Boards, as well as national and field staff members on behalf of the Founders, and/or their designees. Must demonstrate the professional disposition to work effectively with executives and Board Members in the organization and execution of Board meetings and select Committee meetings.

 

 

Essential Responsibilities:

 

 

Board Liaison

 

  • Responsible for coordinating and assembling the logistics, agenda & board materials, working closely with the Chairman, Vice Chairman and Executive Vice President of the board for the National and State Board meetings.

  • Creates, formulates, and implements yearly meeting schedules.

  • Coordinates and arranges assorted logistics including, but not limited, to negotiating standing expenditures, making hotel arrangements, airline travel, and determination of meeting venues, etc.

  • Communicates regularly with the various Board Chairpersons, Chairs, and Committee Members through minutes and letters/emails, articulating and serving as spokesperson for the Founders’.

  • Maintains secure and confidential minutes, files, and updated memberships of all Boards and Committees.

  • Any and all other duties and responsibilities as assigned from the Founders’ department.

 

Executive Assistant

 

  • Responsible for the coordination and support of multiple executives, specifically the COO, CSAO, CFO, General Council, and CHRO.

  • Manage calendars on a routine basis, and assist in the coordination of meetings and events.

  • Assist in preparing materials for operational reports and presentations with administrative support in typing, faxing, and copying.

  • Prepares routine and advanced correspondence including internal and external letters.

  • Assists as needed, in undertaking business development research on the Internet for topics of interest and in organizing research findings for internal and external use.

 

 

 

Minimum Requirements:

  • Bachelors degree in Business Administration or related field preferred

  • Detail oriented and strong organizations skills

  • Experience in booking travel

  • Proficient in Microsoft Office applications

  • Concise grammatical and proofreading skills, exacting attention to detail

  • Strong written and verbal communication skills

  • Exceptional diplomacy and ability to effectively communicate internally and externally with individuals at all levels

  • Ability to work in a confidential manner, ensuring information is shared with internal and external individuals only as needed and in an appropriate manner

  • Working knowledge of nonprofit organizations is helpful
